Rental Instrument, LLC rents and repairs musical instruments for students, schools and performing musicians in Connecticut and New York. This page explains what information we collect through this website, why we collect it, and what we do with it.
Information you give us
Most of the information we hold comes from a rental application or an enquiry you send us. Depending on which form you use, that can include:
- Your name, mailing address, email address and phone numbers
- The student’s name, school, grade, homeroom and music teacher
- The instrument, size and rental option you selected, along with any accessories
- Your insurance selection and your signature on the rental agreement
- Payment card details, where you provide them on a rental form
- Anything else you choose to write in a message to us
Payment information
When you submit a rental form with card details, the information reaches us so that a member of our staff can confirm your order and pricing with you before anything is charged. We do not charge a card at the point of submission. We keep a card on file for the length of a rental agreement because the agreement requires it, and we use it only for charges described in that agreement.
Information collected automatically
Like most websites, this one records basic technical information when you visit, such as your browser and device type, the pages you look at, and the site or search that brought you here. We use Google Analytics for this. It sets cookies in your browser and reports visits to us in aggregate. You can block or delete these cookies in your browser settings, or use Google’s opt-out tools, and the site will still work.
How we use your information
- To prepare, set up and deliver the instrument you asked for
- To contact you about your rental, a repair, a size change or a return
- To take payment under a rental agreement you signed
- To answer questions you send us
- To keep records the business is required to keep

We do not sell your information, and we do not share it with anyone for their own marketing.
Who we share it with
We share information only where it is needed to run the rental. That can include our payment processor, the school your student attends where the school administers the rental program, and service providers who host this website or handle our email. Everyone in that list receives only what they need. We may also disclose information where the law requires it.
Students and children
Rental applications are completed by a parent, guardian or school, not by students themselves. Where a form includes a student’s name, school and grade, we use that only to fit the right instrument, deliver it to the right place and keep the rental record straight. This site is not directed at children and we do not knowingly collect information directly from them. If you believe a child has sent us information, contact us and we will remove it.
How long we keep it
We keep rental records for as long as the agreement is active and afterwards for as long as we need them for accounting, warranty and legal purposes. Enquiries that do not lead to a rental are kept for a reasonable period and then removed.
Your choices
You can ask us what information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Write to us using the details below and we will respond. You can also unsubscribe from any email we send that has an unsubscribe link.
Security
This site is served over an encrypted connection, and access to rental records is limited to staff who need it. No system is perfect, and we cannot guarantee absolute security, but we take reasonable steps to protect what you give us.
Changes to this policy
If we change how we handle information, we will update this page and change the date at the top.
